Free reports from Google Data Studio

Google Data Studio is a free tool designed for data visualization and creating advanced, dynamic and extensive - in terms of content and appearance - reports. This tool debuted on the Polish market in April 2017, but in some countries it was already available in mid-2016. The operation of Google Data is relatively simple, because you just need to connect a data source (or several) to it to design a report in a convenient and transparent way.

Many possibilities for creating data and charts

Many types of charts and tables are available to users. Individual data can be freely filtered, narrowed or combined as desired. Attractive charts available in Google Data Studio in various formats, e.g. pie, bar, line, infographics and tables, are a simple way to create transparent and easy-to-interpret reports. aesthetic, transparent and easy to interpret by everyone!

Performance characteristics - combine data into one whole

Data analysis is the basis for many activities. Thanks to it, we can assess the effectiveness of an online store's advertising campaign, or present data to contractors or our boss, but also use it for private purposes. Until recently, this type of activities required a lot of time and commitment - now Google Data Studio processes data from various sources, Google Data Studio processes it in a few moments! This is an ideal tool for analysts that can be used even by less advanced website users and amateurs.

Advantages of creating free reports in the program

The current version of Google Data Studio, compared to the initial version from the beginning of its presence on the market, is a convenient and much more convenient tool, among which it is also handy. w Among its advantages we can mention:

  • Intuitive operation – the Google Data Studio panel visible after logging in is simple and clear. You just need to master the basics to be able to operate it without any major problems. The tutorial is very helpful for this.
  • Free access – like other Google tools, GDS is also free (apart from advanced connectors or visualizations, which you can do without).
  • Possibility to present data from many sources on one dashboard - all important data is collected in one place and presented in a clear and interesting way. This is a huge time saver!
  • Possibility to create your own connections with data sources that you download from other systems to Google Data Studio.
  • Clear data visualization in the form of colorful charts and tables.
  • Reporting automation – you can set the date, recipients and dashboard pages that will be made available.
  • Possibility of several people working synchronously on one dashboard - team members can freely edit, view or add comments to reports.
  • Interactivity – date ranges, filtering data in reports, configuring dimensions, etc. can be done without the need to send subsequent summaries and statistics.

Disadvantages of Google Data Studio

Google Data Studio is a truly brilliant solution, but even it has its drawbacks, for example:

  • GDS is a slow tool - downloading data from various sources can seriously slow down the process, but we still save a lot of time.
  • Limitations in data presentation – there are problems in combining data from many sources.
  • Limited number of connectors – while new ones are constantly appearing, there are still no more comprehensive solutions. Moreover, additional connectors are usually paid or available in a free version with limited functionality.
  • When using it, it is worth knowing English - the GDS documentation is still not fully developed in Polish.
  • Errors – quite often errors appear without explanation and cannot be verified.

How to log in?

The process of logging in to Data Studio is child's play. All you need is a Google account (it is worth having Google Analytics and/or Google Ads assigned to it) and logging in to datastudio.google.com, this way you gain access to the easy-to-use and transparent GDS panel. If you don't have a Google account yet, select Create an account and complete the form. After logging in to GDS, you will find yourself on the home page.

How to prepare work in Google Data Studio?

Data visualization with Google Data Studio is extremely simple, and the advantage of the panel is its intuitive operation. It includes, among others, elements such as:

  1. Internal search engine – a quick way to find a report or data source.
  2. Main menu – it adjusts its content depending on what we want to work on: reports, data sources or data analysis area.
  3. A button that can be used to generate a new report or data source.
  4. Navigation panel – presents resources, i.e. reports and data sources created by us, but also those shared or deleted with us.
  5. Tutorial and ready-made graphic templates to use.
  6. List - Listing all our reports or data sources - depending on the section we are currently working on.

What are the data sources?

GDS data sources are huge resources that can come from, among others, all Google tools, including:

  • Google Analytics,
  • Google Ads,
  • Google Search Console,
  • Google Sheets,
  • Big Query,
  • YouTube
  • Statistics.

In addition to the above, we can also use paid plug-ins that allow us to use data from Facebook, Instagram or Amazon. In addition to the above, we can also use standard databases, because Google Data Studio allows their free integration. At the same time, we can combine different data sources, resulting in more comprehensive Google Data Studio data visualizations.

Connection of additional data sources

Adding additional data sources can be done from the report creation level - just click on the Resource option and select Manage additional data sources. The next steps are similar to those when creating the first data source. Importing data from various sources into Google Data Studio may require additional connectors. In a situation where we have not found what we need among the available resources. In this situation, we can create a data source ourselves that will meet our expectations.

Data visualization and report creation

In practice, visualization and creation of reports in Data Studio requires skillful construction of reporting systems and dashboards. How can you use GDS effectively? First of all, approach the topic creatively and with enthusiasm!

Where to start reporting?

It is worth starting reporting in Data Studio with appropriate preparation. Open the panel and instead of spending hours setting, adding and deleting unnecessary metrics or charts, start planning. Paradoxically, a great idea will be to use traditional methods - paper and pencil. It is worth considering what should be included in the report and on the basis of which data it will be possible to draw specific conclusions or make decisions.

What should you remember when building data visualization with Google Data Studio?

  • List all the data that will be needed in the report.
  • Think about what grouping of metrics will be best. Which charts will best reflect what you need.
  • Visualize what types of charts or tables will work best and determine what will play first fiddle.
  • Once you have a plan ready, you can take action - you will save a lot of time and get started right away!

Creating a dashboard

To create a dashboard, we go to GDS and create a new report. In the first step, we add a data source to the report by selecting the one (or which) we want to use. It is necessary to authorize the tool. After selecting the data source, click Add. The first chart can be anything - it is important that it helps perfectly visualize the data you want to present.

During visualization, Google Data Studio, by default, can supplement charts with data that we do not need. In such a situation, it is necessary to use the panel on the right, where there is a widget with the Data and Style tabs. This is where we can adjust the chart to our needs. We can change fonts and their size, reduce or increase data sections in charts - ultimately, our dashboard should be transparent and tailor-made. In the next steps, we build the rest of the report that we had planned earlier.

Types of charts

A huge advantage of Google Data Studio is a wide range of charts that allow you to create reports according to any concept. Free options include tables, including pivot tables, summary statistics, bar charts, time series, infographics and much more. For example, you can also use the practical Heatmap option in tables, which will significantly improve the transparency of the cells.

Filters

We can filter the data contained in reports in two ways:

  • Chart filtering – here we are dealing with a specific chart and we can use any filters available in GDS, as well as use a segment previously created in Google Analytics.
  • Report filtering – this action allows you to refine all charts in a given report. It is best to establish general criteria here, which will allow you to, for example, narrow down the dashboard for a specific traffic source, date, etc.

Adding new fields

In Google Data Studio, we can successfully complete missing fields using data already available in the source imported when creating the report. In the Resource tab > Manage added data sources, and then Edit next to the source, we can add a new field.

The possibilities offered by Google Data Studio

Correctly building reports and presenting data are the unquestionable advantages of Google Data Studio, but that's not all it can offer! Check out what other possibilities it offers:!

Collect data into one report

The main task of GDS is to collect data in one place and present it in an accessible form. To be able to use external data sources, connectors are necessary. Currently, there are many of them, and each user can create their own.

The most popular connectors include Google Analytics, Google Ads and Google Search Console, but also connectors from external suppliers that allow you to download data to Data Studio. Thanks to connectors, the possibilities of obtaining data for visualization are almost unlimited.

Community-built features

A huge advantage of Google Data Studio is its large community, which allows you to use its ready-made components. The data can be presented in a completely surprising way.

Data linking

Google Data Studio is also a great opportunity to combine data from a wide range of different sources. In one report, we can create a compilation that will fully meet our needs. Simply add your selected data sources and connect them using a common metric.

Own metrics

Creating your own metrics is an option offered by GDS, thanks to which we can, for example, dynamically group content and fully adapt the report to our goals. Data visualization using them is more precise and tailored to our needs. tailor-made.

Automation

Among its numerous advantages, tGoogle Data Studio certainly includes time savings, which we gain, among others, thanks to the automation of report sending. The template we have created, available to us and our client, allows for more efficient communication, including all necessary information and answers to questions in a convenient form. Therefore, we no longer have to send reports manually each time - by setting a schedule, Data Studio will do this work for us.

For example, by setting an e-mail address in the settings and generating a report in the form of a PDF file every month, e.g. on the last day of the month, the recipient will receive all the data he is interested in in a very accessible form.

What are the benefits of Google Data Studio?

Data visualization is primarily about simplicity, readability and aesthetics. This tool gives us a whole range of benefits, from the ability to include data from many sources in one report, through the option of preparing and customizing data in charts in advance, to an aesthetic, visually pleasing presentation.

Shared reports can be read by people who do not previously have access to the sources used in the report, which in turn makes it possible to freely share reports with colleagues, contractors, etc. without having to provide them with the source data.

The dynamics and the ability to make any changes to tables, charts, applied filters or time ranges of reports make them a universal and multi-tasking tool. Reports and Google Data Studio have gained a completely new dimension, so it is worth using the potential of this extraordinary tool.

Summary
